Even the most well-planned campaigns can fall short due to common pitfalls that hurt engagement, damage sender reputation, or cause missed opportunities.

Mistake 1: Lack of List Segmentation

Sending generic emails to a broad audience can lead to lower engagement and reduced conversion rates. Without proper segmentation, your emails may not resonate with your recipients, decreasing their effectiveness.

2. Define Buyer Personas: Create clear personas (e.g., Marketing Directors at U.S.-based SaaS companies (50–200 employees) using HubSpot or Salesforce) and tailor your outreach accordingly. For more, refer to this document.

Mistake 2: High Bounce Rates

Sending emails to unverified or outdated addresses can lead to high bounce rates, damaging your sender reputation. Invalid email addresses increase the likelihood of hard bounces, which negatively impact deliverability and can even trigger spam filters.

How to fix it:

1. Verify Email Addresses: Always verify email addresses before uploading your lead list. Go to the Contact list, then to your saved lead list, to email status, and click Verify Email.

2. Segment Risky or Unknown Addresses: Exclude addresses marked as ‘Risky’ or ‘Unknown’ to avoid sending to problematic emails from your Campaign.

4. Monitor Bounce Rates: Aim for a bounce rate of 2-10%, which is considered acceptable. If you exceed this range, take action to clean and validate your lists.

Mistake 3: Spam Triggers

Emails that trigger spam filters can end up in the spam folder, where they’ll go unseen. Spammy language, poor reputation, or frequent sending without proper personalization can all trigger spam filters and reduce your email’s chances of landing in the inbox.

How to fix it:

1. Avoid Spammy Language: Using phrases like "Act Now!!!" or "Limited Time Offer!!!" can trigger spam filters. Instead, you can rephrase it as "Exclusive offer for a limited time". This removes excessive punctuation and uses more professional language.

2. Personalize Emails: Instead of sending a generic email that says, "Dear Sir/Madam," use a personalized greeting such as "Hello {{first_name}}". This helps improve engagement and reduces the likelihood of being flagged as spam.

3. Monitor Sending Frequency: Space out your sending schedule to avoid triggering filters with high volume in short bursts via the “Wait for” option. For instance, if you send 500 emails in one minute, it could look like spam activity.

Mistake 4: Prompt Issues

Broken or missing personalization prompts (e.g., {FirstName}, {Company}) can make emails look unprofessional, leading to lower engagement. Prompts that don’t match the uploaded lead list fields can cause errors and confusion for the recipient.

How to fix it:

1. Check Prompt Setup: Make sure all placeholders in your email (e.g., {{recipient_name}}) exactly match the column headers in your lead list. If your greeting includes “Hello {{first_name}}”, don’t start your prompt with another “Hello” to avoid duplication. Always preview your email to ensure variables populate correctly.

2. Test Before Sending: Before sending out your email campaign, use the "Preview" feature to see how the prompts are replaced. For example, if your email includes {{first_name}}, previewing the email will ensure that the contact name correctly replaces the placeholder and is displayed as expected.

Mistake 5: Reply Detection Problems

Relying solely on automated reply detection can lead to missed or misclassified replies, which affect follow-ups and lead nurturing. This could skew your campaign insights, as you might miss valuable responses or fail to follow up with interested prospects.

How to fix it:

1. Monitor Replies Regularly: Use the Campaign analytics board to monitor all replies and AI-detected interest signals. In the below image, you can see the "Email Replies" section, which shows that there is a 5.88% reply rate (17 emails sent, with 1 reply).

2. Review Replies Promptly: Manually review replies marked as "Interested" to ensure timely follow-ups. In the image, with 17 emails sent and 1 reply, make sure the reply is promptly addressed and categorized correctly.

3. Adjust AI Settings: If there’s a mismatch between detected replies and actual replies (e.g., high bounce or unsubscribe rates), adjust the AI settings for better accuracy. This will help the system identify relevant engagement and ensure timely follow-ups.
