Updated over 3 months ago

Welcome to B2B Rocket!

This guide will help you, as a new user, to set-up your B2B Rocket account.

Onboarding Checklist

1. Create An Account

Go to app.b2brocket.ai and Register as a new user, or click here.

Fill out the form with your basic account details.

After registering, you'll need to choose a plan and submit payment.

Finally, read and sign the Terms of Service Agreement.

Congratulations! You now have access to the dashboard.

2. Join A New User Onboarding Webinar

Now that your account is created you can join a New User Webinar to learn more about the platform and get a step-by-step guide on how to setup your AI Agents.

3. Connect Sending Accounts

In order to send emails through the platform you'll need to connect sending accounts.

Users have 3 options for connecting sending accounts to the B2B Rocket platform:

⭐ Recommended -- DFY Domains & Mailboxes

Most of our new users do not have their own alternative domains & mailboxes for dedicated cold emailing, and in this case we recommended purchasing them directly through the B2B Rocket platform.

If you have your own pre-existing G-Suite domains & mailboxes, please move to the next section.

To learn more about this process, please click the button below:

Connect Pre-Existing Domains & Mailboxes

If you already have pre-existing G-Suite domains & mailboxes, you can connect them to your B2B Rocket account.

To connect accounts, login to your dashboard, click Email Accounts > Manage, then click the + Add New button (top right).

Select your mailbox provider (We only support G-Suite mailboxes. Microsoft is coming soon.), then follow the steps listed in the pop-up.

You can view connected mailboxes on the "Manage" page.

Purchase From Google / Microsoft

If you do not wish to use our DFY process and if you don't have your own existing domains and mailboxes, then you'll need to purchase them on your own.

Keep in mind that if you choose to purchase them on your own then you will be solely responsible for:

  • Ensure that both domains & mailboxes have the proper technical configuration.

  • Connect mailboxes to a credible warm up software for at least 14 days.

  • After warming, connect them to your B2B Rocket account.

Here are direct links to domains & mailboxes that we recommend:

4. Create AI Campaigns

Navigate to Engage > AI Campaigns, then click the Create AI Campaign button.

Complete each stage of the AI Agent setup. Instructions for each section are below:

Campaign Information

This first tab is Campaign Information.

  1. AI Campaign Name -- this field is only visible to you, so feel free to be as brief or detailed as you'd like. Most people use this field to note territories, team members assigned, service/product being marketed, etc.

  2. SalesGPT Agent Name -- give your AI Agent a name! Feel free to be creative and make one up or use your own name! Surnames are optional.

  3. Title/Role for Email Signature -- This will be the title shown in the email signature section of every email (regardless of connected mailboxes). This does affect engagement, so be sure to pick a title that makes sense and is relevant. For example... If you work with schools, it wouldn't make sense for a Sales Rep to reach out, instead the title could be "School Partnership Manager".

  4. Company Location -- Enter the location of your company's HQ or main office.

  5. Company Name for Email Signature -- this is the company name that you'd like shown in your emails to prospects. Write it exactly as you'd like it shown, both in the email body and also in the email signature.

Target Audience

The next tab is called Target Audience.

There are 2 options to add leads to your campaign:

  1. Use Filters -- search through our database of 700+ million leads.

  2. Import From CSV File -- upload a csv of your own leads.

If you choose Use Filters, you'll be able to search through our database of 700+ million leads using the filters below. Click the filters to expand them and refine your search. The live preview of contacts along with the estimated number of leads will be shown on the right hand side.

Making changes to these filters will update the list of "Sample Leads", located on the right hand side of the screen. This gives you a real-time preview of contacts that your AI Agent will engage with.

While it may seem like a good idea to use as many filters as possible, we recommend erring on the side of less filters. The goal is to find a balance of quality vs quantity.

Remember, your AI Agents email at scale, meaning if you have only a few hundred leads it could cause your agents to finish their tasks after only a few days, and they'll need manual intervention before they will resume.

As a general guideline, we recommend having at least 10,000 leads per campaign to ensure that they can run for weeks/months on auto-pilot without needed any manual intervention!

Here's an overview of the available filters:

Location

Start by selecting the broadest applicable location, keeping in mind you can always adjust this later.

  • Click Select Region and begin typing a location or select one or more options from the dropdown menu.

  • If there are specific cities, states, regions that you do not wish to target that are included in your Location search, you can enter those into the Exclude Locations box.

Industries

Filter your search by industry to target specific markets based on the niches your company serves.

Industries:

To add industries, click the Industries drop down menu, then click Industry. Search directly for the industries you want to use, or open the drop-down and scroll through the options. You can select multiple industries.

If there are specific industries you wish to avoid, use the Blocked Industries section.

Company Domain

  • Include Domains -- Use this feature if you want to target specific companies. This is helpful for targeting larger organizations specifically. Keep in mind there is a hard limit of 15 domains that can be used in this section.

  • Exclude Domains -- This will allow you to exclude certain companies from your search. Keep in mind there is a hard limit of 15 domains that can be used in this section.

Number of Employees

  • Predefined Range -- Filter you search by the number of employees at a company to target only companies of a certain size. You can select multiple company size ranges.

Custom Range -- If the predefined ranges are too broad, you can enter a minimum number or maximum custom range instead.

Revenue data is collected from publicly available sources.

Person Role & Department

  • Titles / Roles -- This will search our database for titles that EXACTLY match the titles written. For example...

    • Marketing Manager = 900k available leads.

      • Anyone with the words "Marketing" or "Manager" together in their titles will be found.

    • Manager = 26 million available leads.

      • This will find any titles that have the words "Manager" in it. This will include all results in the previous "Marketing Manager" example.

  • Department -- Select one or more departments from drop-down menu.

Technologies

Use this filter to find companies who use certain technologies.

  • Note: Using this field may significantly reduce the number of available leads.

Keywords

  • Include Company Keywords -- This filter will find contacts that many ANY keywords in this section. Using more keywords will INCREASE the number of available leads. For example...

    • Software = 22 million available leads.

    • Software, Marketing = 31 million available leads

  • Exclude Company Keywords -- This filter will exclude companies that contain any keywords used in this section. This is helpful for finding more niche companies.

Training Data

This is where you will give your AI Agent the information it needs to know about your company along with any instructions you'd like to provide on writing emails.

Below is a breakdown of each section on the Training Data tab:

Describe Your Company

Provide high-level information about your company. Don't talk about your products/service, instead focus on why your company exists. What makes you unique/special?

Describe your Product/Service

Include information that showcases your expertise and highlights your key selling points. Make sure to tailor your writing to your target audience. If your product or service solves multiple problems, focus on what this group needs the most.

Showcase Your Success Stories

Provide 1 or 2 examples that demonstrate a problem, solution, or outcome from a client using your product/service. Using numbers, percentages, etc. is a great way to capture attention and WOW your prospects.

Tailor your success story to your target demographic. Don't compare Apples to Oranges...

For example:

  • If your software reduced expenses for a warehouse, and your target audience is mom & pop e-commerce stores, then the comparison really does not mean much. It's hard for a small business owner to see the value you brought to a larger and more complex organization.

Enrichment Data

Select the data that you think will be most helpful in providing context to the AI when generating emails. Selecting these options does not mean the AI will use these points in every email, rather the points will only be used if they make sense and provide valuable context to the emails.

  • Prospect Location -- A reference to the prospect's physical location.

  • Company Description -- This is almost always recommended as it will give the AI more context about the prospect and what their company does, allowing emails to be more tailored.

  • Industry -- Looks for industry related news or events. Will be used to tailor your offering to the challenges of the prospects specific industry.

  • Funding -- If there was a recent round of funding.

  • Revenue -- Only available for companies that report their revenue.

  • Number of Employees -- Only available for companies that publish their employee count.

Email Subject Instructions

Templates

These are great for getting started quickly. Many of our users select their favorites just to get setup quickly. That said, we always recommend writing your own subject lines, as this will allow you to be helpful, creative, and better resonate with your unique audience.

Write your own

This feature allows you to really get creative! Just make sure your subject line is not salsey or spammy.

Email Structure

These filters allow you to alter the writing style of your AI Agents.

Purpose

This defines what the purpose or intent should be for the emails being sent.

Creativeness

This determines how much creative freedom you're giving your AI Agents. Low creativity means the agent will use mostly the information that you provide in your descriptions, while High creativity gives the agent more flexibility to draw conclusions and come up with unique statements.

Length

These filters will allow for variations in email length. A shorter email may be great for getting right to the point, while a longer email allows for more opportunities for personalization.

Tone

Give your agent a tone that matches your brand. If your prospects tend to be very corporate then you'd likely use a business professional tone, while on the other hand if your prospects are typically a bit more laid back you could go with a casual tone instead.

Language

There are 3 options that you can choose which will determine the written language of your emails.

  • Default (English) -- By default, emails are written in English.

  • Prospect's Native Language -- This is a great option if you have multiple countries in your target audience filters. The agent will look at the prospect's location and write the email in the official language of the country/region they are located in.

    • France = French

    • United Kingdom = English

    • Sweden = Swedish

    • Etc.

  • Choose A Language -- This will allow you to choose 1 language to override the default language with. Meaning all emails will be generated in ONLY the language you choose.

Email Content

Your selections here will change the corresponding section within each email.

Opening Lines

This is the first thing your prospect will read in the email.

Connecting Statement

This will connect your opening line(s) with who you are and why you're reaching out.

Body Paragraph

This will go into more detail about what you do and why they should care.

Call To Action (CTA)

Personalized Video + AI Chat Agent

This call-to-action model uses AI to generate background videos of the prospect's website, and includes a personalized recording from you. This language is reflected in your emails. Record your video on any device you'd like, then upload the file.

Videos should be no longer than 45 seconds.

Videos that are shorter, candid, and showcase personality tend to perform the best.

Here's how the videos look. The prospects video will be scrolling in the background, while the personalized video recording of did will show up in the bottom right hand corner of the video.

This call-to-action is a great way to add a personal touch to your emails and shows prospects that you took time to make a video just for them!

AI Chat Agent

This is our default call-to-action. Prospects will be sent a link in their emails inviting them to a chat and/or to book a meeting with you.

When a prospect clicks on the link in the email they are brought to your landing page, which looks like this:

Prospects can read reviews, go to your website, book a meeting with you, or chat with your AI Agent to ask questions and learn a bit more about who you are and what you do.

Traditional / Reply-Based Approach

This call-to-action model allows you to write your own personalized message within the ai generated email with the intent of starting a conversation, which a much softer call-to-action than the other engagement models.

Redirect Link

Send prospects to the link of your choosing. In the example below, we are sending prospects directly to a meeting scheduling page.

Specific words will be hyperlinked within your text based on the next option you select... either having the link at the start of the email or at the end.

Link At Start

This is an ad lib section.

Select the text from the dropdown menu, those words will be hyperlinked and will be the FIRST words in the call to action.

Simply type any other text you'd like so that the call to action makes sense. See example below:
