Campaign Health Checklist

If your outbound campaign isn’t sending emails or generating activity, there may be issues with the setup or configuration. This Campaign Health Checklist helps you quickly spot and resolve common problems, like inactive campaigns, missing lead lists, or mailbox connection errors, so your AI-powered outreach runs smoothly.

This guide will walk you through every key step to confirm emails are being sent, leads are targeted, and settings like timing, language, and schedules are correctly applied for the best possible results.

Confirm Mailbox Usage

Ensure your account is using all available mailboxes to reach your full sending potential. Unused mailboxes can limit deliverability and waste budget.

Step 1: Log in to your account and click on the Accounts icon from the left-hand sidebar.

Step 2: Check how many mailboxes are connected.

Step 3: Compare this with how many are assigned across your campaigns.

Note: Using all your connected mailboxes helps you send more emails and get the most out of your plan. It's not required, but it’s a good practice.

Monitor and Edit Campaign

If a campaign isn’t launched, no emails will go out. This quick check ensures your campaign is active and ready to send; if not, you need to edit the campaign.

Step 1: From the Campaigns page, check the Launch button — if it says "Launch", it’s not active yet.

Step 2: Click the three-dot (Vertical ellipsis) menu and select the Edit Campaign option.

Attach Lead Lists

Every campaign needs leads to contact that help target the audience. Without an assigned list, your campaign has no one to reach out to.

Step 1: Inside your campaign, navigate to the Target Audience tab.

Step 2: Ensure a list is assigned under “Choose a List”.

Step 3: Choose filtering options such as only deliverable or deliverable & unknown based on your preferences.

Note: If no list is assigned, the campaign will stay idle even if it's launched and sequences are active.

Set Proper Sequence Timing

By default, the first step in a sequence is delayed by 3 days. Setting this to 0 is necessary for same-day sending to ensure your campaign starts immediately.

Step 1: In your campaign, open the Sequence tab.

Step 2: Set the first email’s delay to 0 days to ensure it starts the same day.

Note: After launching, it may still take 4 to 12 hours for emails to begin sending, depending on queue time.

Step 3: Review follow-up emails and make sure delays are logical (e.g., 1–3 days between steps).

Review Campaign Options

Ensures your campaign has proper setup, including delivery schedule, content format, and localization. Options like language, plain text, time zone, and notifications help optimize delivery and engagement.

Step 1: Go to the Options tab and review/configure the following options:

(Optional) Enable during early ramp-up to improve deliverability. Once ramp-up is complete, disable and switch to Open/Click tracking for accurate analytics.

Language

Choose the native language of your target audience

Schedule

Must be set correctly – include:

- Time zone

- Working days (avoid weekends if needed)

- Start/end dates

- Email delay (min: 6 mins)

Note: Always double-check that the email delay is 6 minutes or higher (never less).

Mailbox Connection

Connecting at least one mailbox is essential for your campaign to send emails. Without it, the campaign will remain inactive.

Step 1: Go to the Accounts tab in the main menu.

Step 2: Ensure at least one mailbox is connected. If not connected, click the Add Mailbox button to link your email.

Step 3: Once completed, click on the Update button.

Step 4: Go back to the Campaigns page and launch it. This will update your campaign and should display as Active and Healthy, with email activity visible.
