Check Mailbox Availability
Check Mailbox Availability to ensure your emails are sent from active, connected mailboxes. This step is crucial for deliverability and a smooth campaign launch, especially when using the DFY Mailbox Service.
Step 1: Log in to your account and click on the Accounts icon from the left-hand sidebar.
Step 2: By default, you will be navigated to the Email Accounts tab. Here, you can check the availability of all connected mailboxes.
Ready mailboxes will appear in the list and show a "Connected" status.
Note: If no mailboxes are visible in the Accounts tab, you may need to add an email account manually. If you’re using the DFY Domain and Mailbox Service, please wait for the warm-up process to complete—you’ll receive an email notification once your mailboxes are ready to use.
Select and Review Campaign
Select and review the campaign to ensure your outreach aligns with the right audience and messaging. From choosing the campaign you want to launch to verifying sample leads and reviewing the email sequence, this step helps confirm that your setup is targeted and accurate.

Select Campaign
Once you’ve created your campaign, it will appear in the Campaigns tab. For reference on how to create a campaign, refer to the Campaign Sequence Setup documentation.
Step 1: Click on the Campaign icon from the left-hand sidebar.
You will be navigated to the Campaigns dashboard, here you can see all the created campaigns.
Step 2: Select the campaign from the created campaigns you want to launch.
Review Campaign
Review the Campaign to ensure your targeting and messaging are accurate before launch. This step helps verify sample leads, check your full contact list, and confirm the email sequence aligns with your outreach goals.
Step 1: After selecting the campaign, click on the Contacts tab.
You will navigated to the Contacts Tab, where you can view all contact lists associated with the campaign.
Click on any list to see its detailed contact information.
Step 2: After verifying the Contacts list, return to the Campaigns Dashboard and click on the Sequence tab to review the email sequence.

Set Campaign Settings
Set Campaign Settings to align your outreach with business goals. Proper configuration ensures reliable delivery, consistent engagement, and a professional communication flow.
Sender Configuration
Defines the sender details, notification email, and mailbox assignment for the campaign.
Settings | Description |
Notification Email | Enter the email address where you want to receive alerts for replies. |
Add Your Company Website | Provide your company’s website URL. This helps maintain credibility and improves email trust scores. |
Auto Assign Mailbox | Toggle this on if you want the system to automatically assign a mailbox to send emails. If left off, you’ll need to assign one manually later. |
Sending Schedule
Limit email sending to Monday–Friday for better engagement and consistency.
Email Formatting
Configure how your emails appear, including text formatting, signature settings, and personalization options.

Plain Text Email | Enables plain text format for better email deliverability. |
Add a one-click unsubscribe header | Enabling this option if you are sending more than 5,000 emails per domain. |
Tracking
Enable email open and click tracking to monitor engagement and measure campaign performance.
Settings | Description |
Open Tracking | Disabling open tracking is highly recommended as it may improve deliverability. |
Click Tracking | Disabling click tracking may improve deliverability |
Custom Domain | Uses your own domain for tracking links, improving email deliverability and branding consistency. |
AI Automatic Replies
Activate AI-generated responses to automatically handle replies, improving response time and efficiency.
Settings | Description |
Enable Automatic Replies | Activates AI to send smart, context-aware replies to incoming emails. |
Continues Auto Replies | Allows the AI to maintain ongoing conversations by responding to follow-up emails from the same contact. |
Include your email as a CC | Sends a copy of the AI’s reply to your email address for visibility and oversight. |
Enable Email Notifications | Notifies you via email whenever the AI sends a reply, so you're always informed. |
Take care of Out-of-Office automated replies and Reschedule Based on Date Mentioned | Detects out-of-office messages and automatically reschedules follow-up emails based on the return date mentioned. |
Assign Mailboxes to the Campaign
Assign mailboxes and LinkedIn to the campaign to ensure your emails are sent from verified and dedicated accounts. This step is essential for preserving sender reputation, avoiding overlap between campaigns, and enabling smooth, trackable delivery.
Note: Connected mailboxes should be evenly distributed across campaigns. For example, with 30 mailboxes and 4 campaigns, assign 7–8 mailboxes per campaign to balance volume and deliverability.
Step 1: Click on the Account tab to assign mailboxes to the selected campaign.
Step 2: Choose either Add a New Account or Add an Existing Account.
For demonstration purposes, we have selected Add an Existing Account.
A modal window titled Connect Your Mailbox will appear.
Step 3: Select the desired account from the dropdown menu, then click on the Add Accounts button to connect it to your campaign.
Note: Once assigned, these mailboxes won’t be available for other campaigns.
If LinkedIn actions are added in the campaign sequence, go to the LinkedIn tab and add your account.
Step 4: Click Update to save changes.
Launch the Campaign
Once you’ve completed the mailbox assignment and reviewed the sequence, enable the toggle to launch the campaign. Emails will begin sending within the next 24 hours.
Monitor Replies
Monitor Replies to stay responsive and keep conversations moving. Using the Unibox, you can easily view incoming replies, engage with leads directly, and ensure timely follow-ups to maximize conversion opportunities.
Step 1: Click on the Unibox icon from the left-hand sidebar.
Step 2: You will be navigated to the Unibox. Here, you can preview replies.
Step 3: Click on the email from the right panel you want to reply to, then click the Send button to send your response.
