AI Agent Best Practices
Updated over 6 months ago

We analyzed the most recent 10 million cold emails from our users, ranging from from solo entrepreneurs to enterprise organizations.

Here are some of the best practices from our top-performers:

Have A Plan For Your Agents

Think of AI Agents as members of your Business Development team. Just as you wouldn’t assign a new employee to contact prospects with no training, AI Agents too require careful management. Start with a clear strategy to ensure coordinated efforts: avoid duplicate outreach, maintain consistent messaging, and tailor communications.

Before deploying AI Agents, ensure you have a detailed plan in place. We suggest using 3-5 agents for each target audience, allowing you to test different approaches. Analyze their performance to identify the most effective strategies, then apply these insights to optimize your broader campaigns.

Diversify Your Agents

When it comes to cold email marketing, it is impossible to anticipate what will resonate with your ideal prospects. That's why diversifying your agent setup is incredibly important!

Here's how you can diversify your agents:

Call-To-Action

The fastest and easiest way to diversify your agents is to separate them by different call-to-actions.

We suggest equally splitting your agents across each CTA model:

Background Video

  • This approach will add a more human and personalized element to your message, appealing to leads who appreciate the added effort of recording a personalized video for them.

AI Chat Agent

  • Leads will arrive directly on a landing page where they can either directly book a meeting or speak with your AI Agent to get answers to their questions in real-time.

Redirect Link

  • We recommend using this approach to add value for specific types of leads.

    • Someone who is ready to buy may want to go right to a scheduling page.

    • If you have a free trial to your software, use a link to sign-up to the trial.

    • Maybe you can give them a free service as a promotion or a trial of your product.

Traditional / Reply-Based Approach

  • Many leads don't want to engage with you in any other way than simply replying to your email. Using this strategy you can elicit a quick reply from someone to start a conversation. Allowing your to nurture them into a booked meeting later or to share more information.

Targeting

Finding the ideal setup for your targeting filters can be a real challenge. Follow these simple guidelines to make sure your emails land in the inboxes of the right leads:

Make sure you have enough leads, but not too many.

  • 200 leads may last a single agent one day, while 100,000 leads may last two years.

  • 1,000 leads for 2 agents could take a week, while 5 agents will be done in a day.

Avoid titles that are too generic or too specific.

  • Using broad titles like "Director" will get you every single lead that has the word director in the title. I.E. "Director of IT", "Director of Marketing", "Director of Janitorial Services".

  • While using very specific titles such as "Director of Innovations, Global Business Operations, and Marketing" will likely get you no results.

  • If you don't find enough leads, consider using the department filter and keywords instead.

Review contacts in your CRM to help figure out your Ideal Target Audience.

  • While it may seem appealing to go after CEOs of Fortune 100 companies, doing only this may lead to no engagement at all.

  • If you're booking meetings with manager and director level leads at Fortune 100 companies, then that's who you should be targeting instead.

  • While on the other hand CEOs of small companies may be very receptive.

Descriptions

Adjust your company, product/service, and success story descriptions so that they are aligned with your target audience. An example for B2B Rocket would be:

A Generic Description would be:

  • B2B Rocket AI to improve how businesses in marketing and advertising work together. It helps enhance client relationships, manage supply chains better, and increase profitability by making operations more efficient.

This description is very generalized and not focused... Nobody will read this...

A Tailored Description would be:

  • Marketing Agencies leverage B2B Rocket to automate all of their cold email marketing efforts, saving time and money so that marketing managers can focus on the rest of their omnichannel strategies.

This description is tailored! It specifically addresses pain points of marketing managers who work at Marketing Agencies.

This type of message will better resonate than a generic one and can be easily altered to speak directly to any target audience.

Email Strategy

Each of your agents such be optimized based on the target audience they are reaching out to.

If you setup all of your AI Agents to have the same tone, creativity, email length, etc. then you're limiting your engagement!

For example:

  • Marketers want a more creative email.

  • Entrepreneurs need short casual emails.

  • CEO's need professional, short emails, that are direct with a simple CTA.

Test various strategies to see what resonates best with each of your target audiences. When setting up your agents, test these options:

Monitor and Optimize AI Agent Performance

Continuous monitoring is crucial for maximizing the effectiveness of your AI Agents.

Performance Metrics

  • Open Rates: Track how often your emails are opened. Low open rates may suggest the need for a more engaging subject line.

  • Click-Through Rates (CTR): Monitor the percentage of recipients who click on links within your email. A low CTR might indicate that your call-to-action needs refinement.

  • Conversion Rates: Observe the number of leads who have completed the desired action, like signing up or booking a meeting. This helps in measuring the actual success of your campaigns.

A/B Testing

  • Regularly test different elements of your emails, such as subject lines, email content, and call-to-actions. This can help identify what resonates best with your audience.

  • Use control groups to measure the impact of one variable at a time for precise results.

Feedback Loops

  • Implement mechanisms to gather feedback directly from your leads, such as surveys within emails or quick feedback links at the end of a communication.

  • Use this feedback to refine your strategies and agent scripts continuously.

- Confucius

Integrate Agents with Your Overall Marketing Strategy

AI Agents should not work in isolation. Integrating them into your broader marketing strategy can enhance their effectiveness.

Multi-Channel Coordination

  • Ensure your AI Agents’ messaging aligns with campaigns running on other channels like social media, paid ads, or direct mail. This creates a cohesive brand experience for your prospects.

  • Use insights from AI interactions to inform strategies on other platforms and vice versa.

Data Sharing

  • Facilitate a seamless flow of information between your AI systems and other marketing tools. This ensures all platforms are updated with the latest data, providing a unified view of the customer journey.

  • Utilize AI-generated insights to refine customer personas and target audience segments.

Cross-Department Collaboration

  • Encourage teams across sales, marketing, and customer support to share insights and feedback about AI interactions, helping to create a more integrated approach to customer engagement.

  • Regular cross-department meetings can help align goals and strategies, ensuring every team maximizes the benefits of AI tools.

Scale Your Agent Strategically

As your business grows, scaling your AI Agent operations becomes necessary. Here's how to do it effectively:

Gradual Expansion

  • Start small with a manageable number of AI Agents and scale up gradually based on performance metrics and feedback.

  • Avoid scaling up too quickly which can lead to management challenges and diluted messaging.

Resource Allocation

  • Ensure you have the infrastructure and support staff necessary to handle an increased volume of interactions.

  • Allocate resources like server capacity and technical support in proportion to the number of active AI Agents.

Scalability Planning

  • Develop a scalability plan that includes technical, personnel, and financial aspects.

  • Plan for peaks in demand, such as during product launches or marketing campaigns, to ensure that your AI Agents can handle increased traffic without performance dips.
