How to Create an AI Agent?

B2B Rocket > Left Navigation Bar > AI Agents

1. Follow the above-mentioned workflow to land on the AI Agents screen.

2. From the AI Agents grid, click the Create AI Agent button located at the end of the AI Agents grid.


3. As a result, you land on the Create AI Agent screen.


4. Here, the information for the AI agent is recorded via 3 sections named AI Agent Background, Target Audience, and AI Agent Training Data.


5. In the AI Agent Background section, use the Enter Responsibility textbox to define the responsibility of the agent. This clarifies the objective of the agent whether it is required to contact small business owners or a marketing team at an enterprise.

6. Use the Agent Full Name field to enter the name of the AI agent. This name appears as the chatbot title for the AI agent.

7. Enter the exact role you want to give to the agent using the Agent Title/Role field.

8. Enter the location of your company in the Agent Location field. Multiple locations can be selected from here.

9. Use the Agent Company field to enter the name of your company.


10. Once done, click the Continue button. This takes you to the step 2 in which details of the target audience can be recorded.


11. The Target Audience section contains a number of filters you can apply to refine the target audience for the AI agent. These filters include Location, Occupation, Employer, Education, and Other.

12. Once you make a selection from a filter, the leads falling in that specific criteria populate in the Sample Leads section on the right. In this section, leads are tabulated via various columns that include Name, Title/Role, Location, Company, and LinkedIn hyperlink.

13. As the selections are made, click the Continue button. This takes you to the AI Agent Training Data section.

14. Here, use the Enter Description textbox to describe your company.

15. Use the Enter Description textbox to describe the product you are marketing. This field allows you to include your industry expertise and highlight your selling points.

16. Moving further, use the Showcase your Success Stories textbox to include your company success stories. For instance, how you maximized the opportunities for a specific company. You can include multiple examples via each paragraph.

17. As you go further, the Copywriting Enrichment Data section includes a couple of sub-sections named Prospect Data and Company Data. Both have multiple checkboxes that you can mark to define prospect and company data. These include:

Location: Utilizes the recipient's geographical location to tailor the message, possibly aligning the offer with

regional needs, preferences, or mentioning local success stories, making the communication more relevant and

personalized.

Skills: Leverages information about the recipient's specific skills to highlight how the service or product can complement or enhance these abilities, addressing the recipient's professional development or operational efficiency.

Education: Incorporates the recipient's educational background to align the message with their level of expertise or field of study, potentially making the offer more appealing by connecting it to their academic achievements or interests.

Job History: Draws on the recipient's employment history to contextualize the offer, showing an understanding of their career progression and tailoring the message to reflect how the product or service can meet their evolving needs based on past roles and experiences.


Company Description: Uses a brief overview of the company's activities, mission, or products to tailor the message, ensuring relevance by addressing how the offer aligns with the company's core operations or values.

Industry: References the company's specific industry to contextualize the offer, highlighting industry-specific benefits, challenges, and how the product or service provides solutions or advantages within that sector.

Funding: Incorporates information on the company's funding stage or investment rounds to gauge its growth phase and financial stability, tailoring the pitch to match the company's current scale and potential future needs.

Year Founded: Utilizes the company's age to address how the product or service can support their current stage of development, whether they're a startup, scale-up, or established entity, indicating an understanding of their evolutionary path.

Revenue: References the company's revenue to indicate the scale of operation and financial health, suggesting tailored solutions that fit their budgetary capabilities and growth aspirations.

Number of Employees: Uses the size of the company's workforce to gauge its operational complexity and HR needs, offering solutions that are scalable and appropriate for their level of human resource management.

SIC Codes: Leverages Standard Industrial Classification (SIC) codes to understand the company's primary industry activities, ensuring that the message is highly relevant and targeted to the specific nature of the business.

18. Moving to the Email Subject Templates section, this allows you to select up to 2 pre-written email subject lines which are later rotated in each email sent by the AI agent. This aids A/B testing to see which subject lines are most appealing to your specific audience.

19. In case you want to design a custom subject line, use the Write your own subject line textbox to do so. Here, you can add a total of 10 subject lines.

20. Clicking the Insert Variables button from here reveals three options that include:

[SENDER_COMPANY] – this is the company name given to the ai agent.

[USER_COMPANY] – this is the company name on the registered account.

[PROSPECT_COMPANY] – this is the name of the prospect’s company.


21. Next up is the Email Structure section. This includes a number of dropdowns from where you can choose the level of different components of the email structure. Use the Creativity dropdown to select Low, Standard, or High.

Low: Results in a straightforward, conventional email that prioritizes clarity and directness, suitable for formal or traditional business contexts.

Standard: Produces a somewhat engaging email with a balance of creativity and professionalism, making it more personalized and slightly more memorable.

High: Leads to a highly original and captivating email, rich in creative storytelling or unique propositions, designed to stand out and engage the recipient deeply.

22. Use the Length dropdown to select the length of the email. The options here include Short, Standard, and Long.

Short (~ 90 words): Creates a concise, to-the-point email that communicates the essential message quickly, ideal for capturing immediate attention or conveying simple messages.

Standard (~ 150 words): Results in a balanced email that provides enough information to be informative and persuasive without overwhelming the reader, suitable for most business communications.

Long (~ 220 words): Generates a comprehensive and detailed email that fully explores the topic, offering depth and richness to the conversation, best for complex subjects or highly interested recipients.

23. Similarly, use the Tone dropdown to select the tone of the emails. It is the tone the AI agent adapts while sending emails. The options include:

Business Professional: Delivers a formal and polished email, emphasizing professionalism and traditional business etiquette, ideal for formal communications and establishing credibility.

Business Casual: Offers a relaxed yet professional email, blending approachability with a professional demeanor, suitable for everyday business interactions where a balance is needed.

Conversational: Creates an engaging and accessible email, using colloquial language to simulate a natural conversation, making it ideal for building rapport and engaging the recipient on a personal level.

Friendly: Results in a warm and welcoming email, focusing on building a positive relationship with the recipient, perfect for creating a pleasant and approachable impression.

Casual: Generates an informal and laid-back email, using everyday language to convey messages in a relaxed tone, best suited for communications with known contacts or less formal contexts.

Persuasive: Produces a compelling and convincing email, strategically crafted to motivate the recipient to take action, utilizing emotional appeal and logical arguments to influence decision-making.

Authoritative: Leads to a confident and assertive email, establishing expertise and command, effectively conveying messages with authority to inspire trust and respect from the recipient.

24. Moving on to the Email Content section, you have a number of dropdowns to train the AI agent how the sent emails would be structured. Here, use the Opening Lines dropdown to select what you want the opening of the emails to address. The options include:

Relevant Static: Begins the email with a compelling statistic that highlights the significance or urgency of the topic, immediately capturing the recipient's interest by showcasing value or insight.

Open with a Question: Starts with an engaging question to pique the recipient's curiosity or provoke thought, encouraging them to consider their own situation in relation to the email's subject.

Educate: Introduces the email with informative content aimed at educating the recipient about a specific topic, establishing the sender as a knowledgeable and helpful resource.

Storytelling: Kicks off with a narrative or anecdote, drawing the recipient into a relatable or captivating story, fostering emotional engagement and a deeper connection to the message.

Problem-Solution-Results: Opens by outlining a common problem, followed by the solution offered and the results achieved, structuring the email around a clear and persuasive argument that demonstrates value.

Testimonials: Starts with a testimonial or quote from a satisfied customer, leveraging social proof to build credibility and trust right from the beginning, showcasing the benefits and satisfaction of others.


25. The Connecting Statement dropdown includes a number of options that let you decide how the connecting statement of the sent emails would address. The options include:

Synergies: Highlights potential synergies between the sender and recipient's businesses or goals, emphasizing how a partnership or service can mutually enhance capabilities or outcomes, fostering a sense of collaboration.

Opportunities: Focuses on identifying and exploring new opportunities that the recipient may not have considered, suggesting ways the sender's solutions can unlock potential growth or improvement, sparking interest in exploring further.

Value Add: Articulates the additional value the sender's services or products can provide, beyond basic expectations, emphasizing benefits like increased efficiency, profitability, or competitive advantage, appealing to the recipient's desire for improvement.

Case Studies: Introduces relevant case studies that demonstrate the sender's track record of success, providing concrete examples of how similar challenges were overcome, encouraging confidence in the sender's capabilities.

Testimonials: Incorporates testimonials from satisfied clients to reinforce the message with real-world endorsements, leveraging social proof to build trust and credibility, making the case more compelling through others' experiences.

26. Moving further, use the Body Paragraph dropdown to make a selection regarding how the body of the emails sent by the AI agent would sound. The options include:

Standard Description: Provides a straightforward description of the services or products offered, focusing on what they are and how they work, ensuring clarity and understanding without delving into excessive detail.

Showcase Success: Highlights specific achievements or success stories related to the services or products, such as revenue growth, efficiency improvements, or notable client wins, to illustrate their effectiveness and potential impact.

High Level Overview: Offers a brief and concise overview of the services or products, focusing on the overarching goals and outcomes rather than detailed processes, making it easy for recipients to grasp the big picture.

Key Benefits: Details the primary advantages or benefits of the services or products, emphasizing how they address the recipient's needs or challenges, and what sets them apart from competitors, directly appealing to the recipient's interests and priorities.


27. Next up is the Select Call to Action section. Here, you can choose the call to action for the AI agent by marking one of the available radio buttons. The options include:

Personalized Video + AI Chat Agent: Allows the user to record a single video message, and encourages the recipient to watch a personalized video, and also provides an opportunity to message the AI chat agent for immediate questions or further discussion, providing a highly interactive and personalized experience.

AI Chat Agent: Invites the recipient to interact with an AI chat agent to learn more about the offer, ask questions, or discuss their needs in real-time, offering convenience and instant engagement without the need for traditional communication methods.

Traditional/Reply-Based Approach: Asks the recipient to reply directly to the email if they're interested in learning more or wish to take the next steps, sticking to a conventional and straightforward method of engagement that relies on personal communication.

Redirect Link: Includes a link for the recipient to click on for more information, leading them to a landing page or website where they can explore the offer in more detail, register their interest, or contact the company, facilitating a self-guided exploration process.


28. In case you choose Personalized Video + AI Chat Agent, B2B Rocket has maintained a background video feature you can use to record a customized video of up to 45 seconds. To record the video, click the Record Video button.


29. To upload a video from your system storage, click the Upload Video button. You can also view the sample video kept by B2B Rocket by clicking the See Sample Video button.


30. Moving further, use the Add your Company Website field to enter the company website URL.


31. Moving to the Testimonials section, enter a testimonial you have received in the Testimonial field.

Tip: To ensure the AI generates an ideal and perfectly-crafted email copy, maintain a comprehensive description (no more than 5 sentences), eliminate any spelling errors, and keep the responses concise and directly relevant to the information you are providing.


32. Enter the name of the client who has provided the testimonial in the Client Name field.


33. Use the Client Title field to enter the title of the client.


34. Use the Client Company Name field to enter the name of the client company that has provided the testimonial.


35. To add another testimonial, click the Add Testimonial button. You can add up to 3 testimonials using this section.


Note: The testimonials section appears only for the Personalized Video + AI Chat Agent and AI Chat Agent call to action models.

36. In case you select Traditional Reply-Based Approach, the Traditional / Reply-Based Approach section is revealed. You can use the textbox in this section to provide training instructions to the AI agent.


37. If you choose Redirect Link, the Redirect Link section is revealed. It contains the Insert Link here field that you can use to provide the URL for the redirect link.


38. Once the link is provided, select where the redirect link appears (start or end) using the dropdown below the field.


39. If you choose Link at start, the Link at the Beginning of the CTA section is displayed. Use the dropdown and textbox in this section to design the appearance of the redirect link.


40. Selecting Link at end also works in a similar manner by displaying the Link at the End of the CTA section.


41. The email sample based on the selections you made throughout the agent creation process appears in the Sample Emails section on the right. To generate the email, click the Generate Email button.


42. To refresh the email sample in order to see the latest changes, click the Refresh button.


43. To proceed with agent creation, click the Continue button.


44. To save the agent as draft, click the Save as Draft button.
